About the Role
We’re looking for a dynamic, young graduate with at least 1 year of experience in operations / executive support / CS ops and working familiarity (or qualification) in finance to help oversee day-to-day invoicing, collections, and finance operations while supporting client interactions and internal coordination. Experience in SaaS/product companies is strongly preferred.
Key Responsibilities:
1. Billing, Invoicing & Collections (Primary Focus):
Support end-to-end invoicing operations: invoice creation, validations, timelines, and dispatch to clients.
Coordinate with internal teams to confirm billing triggers (subscription changes, renewals) and keep accurate.
Track receivables and follow up on outstanding payments with clients in a professional, persistent, and structured manner.
Support and oversee payment collection workflows and reconciliation across tools (e.g., payment gateways/subscription billing).
Maintain weekly reporting on collections status, aging, pending invoices, and action items.
Admin & Office Operations (Ops/Admin Focus):
Own day-to-day administrative operations: coordination, documentation, and internal process follow-through.
Manage travel logistics end-to-end (bookings coordination, itinerary planning, vendor coordination, reimbursements support, and policy adherence).
Support vendor onboarding: collecting documentation, KYC/payment details, approvals, and onboarding into internal systems.
Coordinate procurement and vendor management: obtaining quotes, comparing options,
negotiating on basic commercials where applicable, and ensuring timely renewals.
Maintain vendor trackers: contracts, renewal calendars, SLAs, billing timelines, and points
of contact.
Support internal office ops: supplies, facilities coordination, ad-hoc requirements, and
ensuring smooth daily operations.
Process & Reporting:
Maintain clean operational trackers, and dashboards for CS ops + finance ops.
Contribute to internal operational improvements, automation ideas, and tooling hygiene.
Requirements:
Minimum 1 year experience in operations / executive support / CS ops /Admin
Finance familiarity or qualification (e.g., coursework, certification, or hands-on invoicing/collections exposure) to oversee day-to-day billing and finance ops.
Strong communication skills for client interactions, follow-ups, and collections management.
Highly organized: comfortable with excel, trackers, attention to detail, and managing multiple parallel follow-ups.
Proactive, hands-on, and ownership-driven approach.
Interest in technology and working in fast-moving product/SaaS environments (preferred).
Tools Proficiency:
Zoho (CRM/Books), Excel/Google Sheets (must-have advanced level proficiency).
Razorpay, Chargebee (subscription billing / payments).
Any experience with ticketing/helpdesk tools and basic reporting dashboards is a plus.
